How to Properly Contact a Mobile Notary for an Accurate Quote

When you need a mobile notary, convenience is often the reason you’re looking for one in the first place. Instead of driving to an office, you have a notary come directly to you. It sounds simple—and it is—but there are a few important details you need to provide when requesting a quote.

One of the biggest factors in determining the cost of a mobile notary appointment is how far the notary has to travel to get to you.  If I get a text from someone asking me, ‘are you doing notary work in COS today”?  I may tell them, “yes, but I am booked at 3pm”.  If the response is, ‘well, we have 2 hours before 3..but if you can’t do it”  there’s clearly a communication fault.

WHAT DOES A MOBILE NOTARY NEED TO KNOW TO SCHEDULE YOUR NOTARIZATIONS?

TIME, date and ADDRESS or general location of the desired appointment and TYPE of notarization.  It is also polite and professional to INTRODUCE yourself on the first contact.  ie: Hi, my name is…and I need a notary for a real estate document at so and so time today if possible at so and so location. We all get spammed these days, and a professional, friendly hello and introduction provides the notary with a solid factual foundation.

WHAT MAKES A MOBILE NOTARY DIFFERENT THAN A TRADITIONAL NOTARY SERVICE?

Unlike a traditional notary sitting in an office waiting for clients to walk through the door, a mobile notary is operating a traveling business. Every appointment involves time, mileage, fuel, preparation, and business expenses. That means I need specific information about your appointment before I can give you an accurate quote.

What Information Should You Provide?

When contacting me for a mobile notary appointment, please provide as much of the following information as possible:

1. Where is the appointment?
Please provide the complete location where you need the notary to meet you. The distance I have to travel is an important part of determining the mobile service fee.

2. What type of document or job needs to be notarized?
Let me know what you need notarized. Is it a single document? A real estate document package? A power of attorney? An affidavit? Loan documents? Estate documents? Something else?  That way I can ask proper questions to determine whether we can proceed.

The type and size of the appointment can make a significant difference in the amount of time required.

3. How many signatures or notarizations are involved?
If you know how many notarizations are required, please include that information. Multiple documents and notarizations can require considerably more time than a simple appointment.  I have to charge by statute for each notarization.

4. When do you need the appointment?
Please provide your preferred date and time. An appointment during normal business hours may be different from an evening, weekend, holiday, or last-minute appointment.

Why Can’t I Just Give You a Price?

A common question is, “How much do you charge for a notarization?”

The answer isn’t always as simple as a single flat number.

My business has real expenses associated with every appointment. In addition to my time and expertise, I have to account for fuel, mileage, printing, preparation time, travel time, my notary stamp and supplies, and the time spent completing the appointment itself.  eg: DOES YOUR DOCUMENT REQUIRE A WITNESS?  DO YOU HAVE ONE?  DO I HAVE TO PROVIDE ONE IF POSSIBLE?

When I drive across town—or farther—to meet a client, that travel is part of providing a mobile service. I also have to consider the time it takes to get to the appointment and return from it.  As of September 11th at the time of this post, fuel is 4.39 per gallon.

That’s why I need to know where you are, what you need done, and when you need it before I can properly calculate a quote.
